News: Ecteon Experiences Positive Growth in Managed Healthcare Services, Secures Three New Customers in Healthcare Segment

Contract Management Pioneer Helps Stabilize Volatile Regulatory Healthcare Companies with Successful Implementation of Contraxx

The managed healthcare industry is experiencing constant changes in regulatory environments coupled with increasing cost pressures, affecting multi-state contracting services for members and providers. Fortunately, three managed healthcare companies found Contraxx, a contract management system from Ecteon, that has positivelyhealthcare altered the way nonprofit associations and for-profit networks manage volatility in contracts in the enterprise.

Ecteon has discovered that managed healthcare companies are now requesting “next generation contract management” support that mirrors their complex and state-specific workflow processes and policies. Its product, Contraxx, has been the system of choice for three new customers this year (adding to many more over the past 30 years), seeking stabilization and adaptability from their CLM.

“Contraxx is especially suited to provide better control and efficiency in complex, high contract change environments, including networked healthcare,” said Richard Eckerstrom, chief executive officer of Ecteon. “We are excited to offer a product that helps these companies address their most pressing challenges, contain their administrative costs, and streamline their contract creation, workflow cycle-times and security processes.”

By implementing a flexible system like Contraxx, one of Ecteon’s recent managed healthcare customers was able to decrease time to identify and pull contracts from days to minutes and meet state-specific regulatory requirements while maintaining a consistent system-wide structure—A significant value-add for the customer, who, like many healthcare executives, are challenged to comply with new government mandates and effectively, improve quality, and reduce costs (Managed Healthcare Executive, 2017).

Managed healthcare companies like Blue Shield of California saw significant improvements in how it managed contracts after investing in Contraxx, including a reduction in in-process document inventory from 1,500 to 150 and a reduction in document creation time from weeks to days. Likewise, Behavioral Science Technology Inc., increased efficiency by closing 36 percent more requests in 2016 than in 2009. These case studies from Ecteon’s new customers have been a springboard of discussion for managed healthcare companies across the U.S. seeking robust, feature-rich CLM solutions that match their internal requirements.

Seven Deadly Sins of Contract Management Installation

Contracts are the essential beating heart of any construction business. They define relationships with owners, legal and finance partners, and subcontractor service providers. Contracts define deliverables and schedules; are necessary to keep cash flowing in a timely manner; and define performance for the ever-increasing task of government approvals. Finally, contracts carefully and specifically assign and manage risk.

But with all that paper, it may seem that getting onto the jobsite becomes a secondary activity. A contract management system (CMS) can help expedite those chores, get you out of the office, and maybe even encourage a good night’s sleep by reducing the worry factor.

To maintain a good night’s sleep through the CMS implementation process, however, means avoiding roadblocks and barriers that can derail your CMS. Here is a checklist of seven things to avoid during the implementation process.

Ecteon Integrates eSignLive™ E-Signatures for Digital Contract Lifecycle Management

Partnership brings completely digital contracting for high-volume transactions in regulated industries

NEW YORK CITY, NY and MONTREAL June 2016 Ecteon, the industry’s premier contract management software provider has partnered with eSignLive, the e-signature choice for business, to offer enterprise clients the added value of secure signatures anytime, anywhere within their contract lifecycle management software, Contraxx.

“Our partnership with eSignLive allows us to better meet our customer’s needs for both simple and complex contract signing processes,” said Richard Eckerstrom, chief executive officer of Ecteon. “In today’s dynamic and digital business world, it is imperative we provide our clients with the most advanced technology partnerships possible so we can continuously innovate Contraxx and anticipate our clients’ business needs.”

Research from Aberdeen shows sales organizations that have adopted e-signatures are 50 percent more likely to realize year over year improvements in customer renewal rates. They are also 41 percent more likely to reduce proposal error rates and 18 percent more likely to shorten their sales cycles. Beyond the direct benefits to the sales organization, however, electronic signatures deliver value by saving the customer time, accelerating the delivery of goods and services, closing more business faster by reducing delays and decreasing paper use.

For e-contracting in particular, e-signatures provide a controlled workflow that allows contracts to be viewed and signed in the proper order, in one session, while capturing all data and signatures without error. And because the process stays digital from end-to-end, all document handling costs are reduced because documents are automatically indexed, stored and retrieved.

Ecteon’s clients will benefit from functionality eSignLive brings, including:

  • Enhanced protection: An active audit trail that captures and proves what was presented, agreed to and signed, enhancing clients’ legal protection and demonstrating compliance;
  • Flexible deployment options: eSignLive is available both on-premises and in the cloud for maximum scalability;
  • High adoption: Seamless integration into Ecteon’s Contraxx software using eSignLive’s open API and white-labelling, enhancing ease-of-use and trust for the end-user.

“E-contracting can be complicated in regulated markets considering the sheer volume of documents and multiple stakeholders,” said eSignLive President, Tommy Petrogiannis. “eSignLive’s integration will enable Ecteon’s clients to speed up the contracting process and stay compliant, all while enabling anytime, anywhere, any device secure signing.”

With eSignLive’s integration, Contraxx can help businesses easily and securely create, capture, manage and analyze all types of agreements.

Ecteon Achieves Certification as HIPAA Privacy and Security Experts

Helps clients meet stepped-up federal compliance requirements

BRENTWOOD, Tenn. – Ecteon, Inc. announces that it has achieved privacy and security certification in support of Business Associate requirements under the expanded Health Insurance Portability and Accountability Act of 1996 (HIPAA) as mandated by the HITECH provisions of the Affordable Care Act of 2010. The rules require health care providers to enter into formal business associate agreements with subcontractors who are exposed to providers’ protected information. Those vendors, including Ecteon, must certify that they meet the HIPAA privacy and security requirements. Under HIPAA, vendors must perform periodic technical and nontechnical evaluations that establish the extent to which their security policies and procedures meet HIPAA requirements. Ecteon invested in formal employee training to enable the company to attain certified status.

Richard Eckerstrom, CEO of Ecteon, said, “Since many of our customers are health care providers, we wanted to be able to assure them that their data is protected and secure to HIPAA standards, and our safeguards are HIPAA-compliant. Ecteon’s certification as privacy and security experts establishes the company as a qualified vendor to health care providers.”

The Health Information Technology for Economic and Clinical Health Act (HITECH) extends HIPAA requirements to business associates. Health care providers must conduct due diligence when evaluating vendors who provide services related to protected health information.  As business associates, vendors such as Ecteon must meet the same stringent privacy regulations as do the health care providers themselves.

HIPAA requires health care providers implement appropriate technical, physical, and administrative safeguards to ensure the confidentiality, integrity, and availability of protected health information. Ecteon’s customers can be confident that protected health information maintained in Ecteon systems will be well-protected and accurate, and that the company has in place appropriate policies and practices to meet evolving privacy and security requirements.

HITECH HIPAA Requirements Intensify Need For Contract Management Software

Healthcare Contract Management Becomes More Stringent

BRENTWOOD, Tenn. – Ecteon Contract Management announces a software solution that assists healthcare organizations in adhering to more stringent HIPAA requirements.

Healthcare facilities and management companies maintain a copious number of contracts at any given time with providers and third party vendors. In the past, this meant a cumbersome manual process and pitfalls in compliance due to details falling through the cracks. With government-mandated reform being implemented and more stringent contractual obligations, facilities and providers can no longer afford oversights.

On February 17, 2010, the HITECH bill went into effect requiring that all third party technology companies be held accountable to HIPAA requirements when they enter into an agreement with a healthcare organization. It is the organizations responsibility to ensure that all of their vendors adhere to these requirements, and therefore, it is even more critical that they have a way of tracking and updating contracts.

Industry experts advise, Business associate contracts will be high visibility HHS audit points. If no agreement exists where one is required, that alone may lead to finding of willful neglect.

With the Contraxx contract management system, businesses design contracts to adhere to standards and track them for alerts and reporting that ensures they are in compliance.

As one of the largest children’s healthcare systems in the country, we use Contraxx to manage all of our contracts from temp staffing agreements, to physician agreements to landscaping. Everything is in the system, said Laura Austin, contract administrator, Nemours. With the HITECH requirements, the system has helped us tighten up our procedures to be compliant. Our auditors were very pleased with their findings.

Contract Management Just Got Easier – and Cheaper

Ecteon announces release of Contraxx One Web-based product

BRENTWOOD, Tenn. – Organizations that need contract management capabilities without the expense of an enterprise-wide system will find a lot to like in Ecteon’s new Contraxx One® Web-based software application.

Ecteon, the first company to develop working solutions for the most difficult large-enterprise contract management problems, introduces Contraxx One, a turnkey contract management solution that lets organizations get started solving the most common contract management challenges in just a few minutes. Contraxx One combines the same engine used by Contraxx Enterprise® with a best-practices configuration packaged for convenient online access in a pay-as-you-go format.

“Many smaller businesses were telling us they admired the ease and flexibility of Contraxx Enterprise but didn’t need all the high-end features it offered,” said Richard Eckerstrom, CEO of Ecteon. “What they really wanted was a package that got them up and running quickly and inexpensively but incorporated the same contract management know-how of the enterprise package. Our response was Contraxx One.”

Contraxx One is a software-as-a-service (SaaS) application that can be up and working in ten minutes and starts at $299 per month for up to three users, with a 30-day free, no-obligation trial. Ecteon hosts the clients’ databases on its secure servers and they access their data via the Web, eliminating the need for their own servers or IT department involvement. Ecteon provides customer support, trouble-shooting, help-desk services and disaster recovery. Signing up for the service is as simple as visiting Ecteons Web site and submitting a registration form.

Contraxx One features include:
* An easy-to-use, intuitive interface that users throughout an organization can readily adopt
* A dashboard display of key items like contracts in process, contracts expiring or renewing soon or contracts nearing budget
* Email alerts tied to contract events (such as expiration) requiring attention
* A risk assessment and categorization system that keeps the treatment of each contract in line with its measured financial, compliance, strategic and reputation risk
* One-click contract summaries to provide instant access to all contract information
* A document repository with full text search to enable easy-access storage of all agreements, correspondence, and other materials related to a contract
* A document-generation module to enable faster and less error-prone boilerplate document creation
* Action item management to ensure timely handling of any kind of contract event, including support for recurring schedules and proactive email alerts
* Amendments and related contracts linking to provide the full picture of each business relationship
* Financial activity capture for each contract to compare actual transactions with the original contract commitment
* A robust catalog of reports that make all information easily searchable, accessible and analyzable
* Secure access via 128-bit encrypted transmission and strong-passworded user accounts; audits are recorded against every data change

Contraxx One benefits include:
* Reduced risk of basing business decisions on untimely or out-of-date information, leading to missing a key date, overstepping a strategic risk boundary or breaching a contract clause
* Reduced legal costs because contract clauses are interpreted only once and stored in a database rather than re-interpreted for each request
* Reduced research costs because all basic contract information is available in a searchable, structured database that can be queried in seconds
* Reduced entry cost because all contract data points are entered once and used many times in reports and other documents

Most reassuring of all, if an organization’s requirements outgrow Contraxx One, Ecteon stands ready with a full product line of contract management products to permit seamless transition to capabilities matching those new requirements.

Eckerstrom commented, “Contraxx One was developed for organizations that need basic contract management that is convenient, easy-start and low-cost. We’re delighted to meet those needs in the form of Contraxx One.”
